Work from Broomall, PA 19008, supporting Zebby Sulecki's leadership, office operations, and field teams
Manage executive calendars, appointments, deadlines, travel arrangements, and meeting logistics
Prepare agendas, presentations, reports, correspondence, and executive summaries
Document decisions and action items and follow up with leaders to help drive commitments through completion
Organize documents requiring executive review or signature while maintaining confidentiality
Assist with special projects, planning, budgeting, forecasting, and leadership initiatives
Coordinate office supplies, equipment, vendors, service requests, mail, hospitality areas, and other administrative needs
Plan and support leadership meetings, company meetings, training events, retreats, recognition activities, and special events
Coordinate meeting locations, technology, meals, materials, attendance records, and follow-up
Support recruiting, interview scheduling, employee onboarding, orientation, training plans, and routine HR administration
Maintain employee inquiry records, route questions to the appropriate people, and support timely follow-up
Coordinate employee recognition and celebration activities
Maintain awareness of active construction projects and coordinate site visits, project meetings, owner meetings, general contractor meetings, and internal operations meetings
Support communication and administrative coordination between office leadership and field operations
Organize project correspondence, contracts, agreements, change documentation, and materials requiring leadership action
Coordinate telephone system changes, voicemail setup, contact lists, and routine technology support with outside vendors
Maintain sales and marketing calendars, contact lists, campaign timelines, sponsorships, events, and follow-up activities
Gather project photos, project descriptions, employee accomplishments, and safety achievements for company communications and marketing
Support customer presentations, meetings, outreach initiatives, and business development materials

High school diploma or GED required
Associate or bachelor's degree in business administration, human resources, or a related field preferred
3 to 5 years of progressive experience in executive support, office administration, HR coordination, administrative coordination, or a comparable role supporting multiple leaders
Experience coordinating meetings, company events, special projects, and competing deadlines
Strong written and verbal communication skills
Strong organizational, time management, and attention-to-detail skills
Ability to prioritize multiple responsibilities, anticipate needs, follow through on commitments, and solve problems independently
Sound judgment and discretion when handling sensitive personnel, financial, legal, and ownership information
Proficiency with Microsoft Office and ability to learn business systems, communication platforms, and contact databases
Professional, service-oriented communication skills when working with executives, office employees, construction field teams, vendors, and customers
Construction industry experience preferred
Familiarity with human resources administration and workers' compensation processes is helpful
Ability to perform the position's office-based functions, including prolonged computer use, regular phone and in-person communication, use of standard office equipment, and occasional bending, reaching, standing, and lifting up to 15 pounds
