As a Plumbing Administrative Assistant based in Portland, OR, you’ll support daily operations for the plumbing department by coordinating vendors, managing project documentation, tracking materials, and keeping projects moving efficiently from start to finish.
Your key responsibilities:
Request job package quotes and compare pricing between vendors
Verify quoted products, purchased materials, and invoice accuracy
Compile and manage submittal packages, including revisions and updates
Apply for plumbing and mechanical permits and coordinate inspections
File approved submittals, inspection reports, and project documentation in the correct job folders
Track project schedules to ensure fixtures and equipment are ordered and delivered on time
Coordinate with jobsite foremen and the shop manager on material orders and logistics
Monitor order tracking and assist with scheduling around product lead times
Maintain pricing history and perform bulk price comparisons for commodity materials
Assist with identifying and organizing incoming shop materials
Verify and approve plumbing department and shop invoices using Docuware
Compile close-out documentation including warranties, operation and maintenance manuals, and as-built drawings

Proficiency with Microsoft Excel, Outlook, Word, or similar software
Experience with PDF markup and editing software such as Bluebeam or Acrobat Pro
General understanding of commercial construction processes
Basic plumbing piping, equipment, and fixture knowledge is a plus but not required
Familiarity with product supply chains, vendor relationships, and material sourcing is preferred
Strong organizational and time management skills
Ability to manage multiple priorities in a fast-paced environment
Excellent communication and coordination skills
High attention to detail and accuracy in documentation and purchasing processes
