Now, let's talk about your responsibilities.

As the Office Administrator, you will play a crucial role in overseeing day-to-day administrative tasks. Your responsibilities include utilizing lead management tools to track and follow up on client inquiries, coordinating with the project management team to assist in tracking project timelines, and handling scheduling tasks such as appointments, meetings, and team calendars. Additionally, you will provide essential administrative support for project proposals, contracts, and documentation, ensuring accurate maintenance of client and project databases. Facilitating internal communication across departments, managing office supplies, liaising with vendors for procurement, and assisting in the preparation of regular reports and presentations are integral aspects of this role. Your support extends to ad-hoc administrative tasks as required, contributing to the overall efficiency and success of the office.

Job requirements

  • A degree or diploma in Business Administration or a related field is a Plus not required
  • Second language is a plus
  • Proven experience as an Office Administrator or similar role
  • Strong proficiency in lead management and project management software (e.g., Zoho, Microsoft Project) is a plus
  • Excellent organizational and multitasking abilities
  • Strong communication skills, both verbal and written
  • Adept at handling sensitive information confidentially
  • Ability to work independently and as part of a team
  • Knowledge of office procedures and basic accounting principles
  • Proficiency in MS Office Suite
  • Must be authorized to work in the U.S.
