Position Overview

We’re on the hunt for a high-performing Executive Assistant (Virtual) who thrives in fast-paced environments and isn’t afraid to take ownership. This role is 100% remote, full-time (no part-timers, please), and demands someone sharp, detail-obsessed, and who knows how to drive results behind the scenes. You’ll work closely with a driven executive, helping to steer multiple projects forward, from email and calendar management to supporting content initiatives like podcasts and books. If you’re a proactive operator who can think five steps ahead, this is your kind of job.

Key Responsibilities

  • Own and manage the executive’s email inbox and calendar with precision and clarity

  • Ensure follow-ups are prompt, clean, and actionable

  • Provide support on ongoing business and content projects, including podcast and book production

  • Analyze reports and proactively highlight trends or insights

  • Draft and manage asynchronous communications across WhatsApp, Slack, and other platforms

  • Assist with light graphic design work using Canva

  • Identify and solve problems independently. This role requires initiative, not hand-holding

Job requirements

What We’re Looking For

  • Proven experience supporting a founder, CEO, or executive remotely

  • Excellent written and spoken communication skills

  • Strong attention to detail and ability to prioritize under pressure

  • Familiarity with async workflows and dictation tools (e.g., Otter, Voice Notes)

  • Comfortable using Gmail, Google Calendar, Slack, WhatsApp, and Canva (basic–intermediate level)

  • High integrity, ultra-reliable, and operates with independent judgment

  • Works well autonomously with high standards for output and performance

  • Preference for candidates located in US-friendly time zones
