Position Overview:

We’re looking for an Executive Administrative & Operations Coordinator to support a U.S.-based executive in managing multiple fast-moving business ventures. This role blends executive-level support with day-to-day project coordination and digital content operations. The ideal candidate is organized, proactive, and tech-savvy—able to keep things moving smoothly while anticipating needs and handling tasks independently. This is a fully remote, PH-based role requiring availability during U.S. business hours and some weekends.

Key Responsibilities:

  • Manage executive calendars, inboxes, and prioritize tasks effectively

  • Support backend workflows for coaching programs, digital content, and course creation

  • Track deadlines and keep project boards (e.g., ClickUp, Trello) up to date

  • Coordinate internal communications and follow up on action items across teams

  • Assist with documentation, recruiting, onboarding, and digital file management

  • Help manage YouTube content, marketing materials, and digital assets

  • Work independently and proactively identify and resolve issues

  • Ensure consistent availability and responsiveness with a stable internet connection

Job requirements

  • 3+ years of experience in executive admin, operations, or project coordination roles

  • Excellent English written and verbal communication skills

  • Familiarity with Google Workspace, ClickUp, Trello, Canva, and YouTube backend (a plus)

  • Highly reliable and self-directed with strong organizational skills

  • Ability to manage multiple priorities and maintain attention to detail

  • Stable internet connection and remote work setup

  • Willingness to work U.S. hours and be available on weekends when needed
