Pay: $50,000 to $75,000 base salary

Your Work Matters: Scheduling and dispatch directly affect technician productivity, installation efficiency, customer satisfaction, and completed jobs.
Take Ownership: This isn't a role for simply filling calendar slots. You'll have responsibility for keeping installation scheduling, service dispatch, crews, equipment, and customers aligned.
Advisor Culture: You'll be expected to communicate clearly, solve problems, and build trust with customers, technicians, installers, and managers.
Work on-site in Mahopac, New York, as the operational connection between sales, HVAC installation crews, service technicians, managers, and homeowners.
Build and manage the HVAC installation schedule, assigning crews to sold jobs, balancing workloads, and sequencing multi-day installations efficiently.
Manage the service dispatch board, prioritizing demand service calls, preventive maintenance visits, and callbacks while dispatching HVAC technicians as conditions change.
Confirm appointments with homeowners, including arrival windows, site preparation requirements, and what they can expect from the installation or service visit.
Coordinate HVAC equipment deliveries, permits, materials, and job readiness with warehouse and installation managers.
Respond quickly to scheduling disruptions, including weather, parts delays, crew availability, and other operational changes.
Reschedule jobs when necessary and communicate updates promptly to affected customers, technicians, installation crews, and managers.
Maintain accurate information in CRM, scheduling, and dispatch software, including job statuses, technician and crew assignments, customer notes, and scheduling updates.
Communicate daily with sales, installation managers, and service managers to keep office and field teams aligned.
Track scheduling and dispatch KPIs, including on-time starts, technician utilization, and completed jobs per week.
Support and improve scheduling, dispatch, and project coordination best practices.
Perform other duties as assigned.

3 to 5+ years of experience in scheduling, dispatching, project coordination, construction scheduling, or a related operations role
HVAC, plumbing, electrical, construction, or skilled trades scheduling and dispatch experience strongly preferred
Ability to coordinate multiple crews, active jobs, service calls, installation projects, and changing priorities in a fast-paced environment
Strong verbal and written communication skills for working with homeowners, field technicians, installers, sales teams, and management
Strong computer skills and the ability to quickly learn CRM, scheduling, and field service management software
ServiceTitan or Pipedrive experience is a plus
Strong attention to detail and accurate data entry skills
Ability to make timely scheduling and dispatch decisions when weather, materials, parts, or staffing affect the day's plan
Reliable and punctual, with the ability to follow established processes
Bilingual English/Spanish communication skills are a plus
Full-time, in-office availability required
Ability to work within limited PTO availability during the peak summer season from June through August
