Play an important role in keeping field inspection, testing, and regulatory documentation accurate and complete.
Build specialized knowledge in fuel tank compliance, regulatory filings, certified reports, and testing requirements.
Work directly with field technicians and help keep operations organized behind the scenes.
Develop experience across compliance administration, scheduling, proposals, contracts, QuickBooks Online, and certification coordination.

Work in Ellington, Connecticut, supporting fuel tank testing, inspection, and compliance operations.
Review and process a high volume of certified testing reports and field inspection documentation.
Verify reports for accuracy and completeness before finalization.
Correct inspection dates, customer information, site details, and other report information as needed.
Proofread technician comments for spelling, grammar, clarity, consistency, and accuracy.
Identify missing, inconsistent, incorrect, or questionable information before reports reach customers or regulatory agencies.
Follow up with field technicians to clarify information and resolve documentation issues.
Complete and manage required online regulatory and compliance filings.
Research applicable fuel tank regulations, inspection standards, and testing requirements.
Track inspections, testings, filings, certifications, and compliance deadlines.
Maintain organized customer, inspection, testing, and compliance records.
Prepare simple proposals and supporting customer documentation.
Coordinate technician schedules and customer appointments.
Monitor technician training and certification requirements.
Coordinate certification renewals and training.
Assist with contracts and related documentation.
Provide backup support to the Office Administrator.
Maintain calendars, spreadsheets, documents, and administrative records.
Provide general office and operations support as needed.
Ensure completed reports and documentation are delivered accurately and on time.

2+ years of professional administrative, compliance, operations, reporting, or office support experience.
Advanced proficiency with Microsoft Office, including Word, Excel, and Outlook/Calendar.
Strong proofreading and written communication skills.
Exceptional attention to detail and the ability to identify incorrect dates, missing information, inconsistencies, and other documentation errors.
Experience managing high volumes of reports, records, or documentation.
Strong organizational, recordkeeping, and time-management skills.
Ability to manage multiple deadlines and priorities while maintaining accuracy.
Comfortable researching, interpreting, and following regulatory requirements.
Ability to learn and work with online regulatory filing and compliance systems.
Clear and professional verbal and written communication skills.
Comfortable communicating directly with field technicians to resolve reporting and documentation questions.
QuickBooks Online experience preferred.
Experience preparing simple proposals, contracts, or similar business documents is a plus.
Experience in petroleum equipment, environmental services, construction, mechanical services, regulatory compliance, or another regulated industry is a plus.
Candidates should be prepared to demonstrate Microsoft Office proficiency and basic administrative skills during the hiring process.
