Responsibilities

  • Assist with reception duties, including answering phones, greeting visitors, and managing inquiries.
  • Handle accounts receivable (AR) tasks, such as invoicing, processing payments, and reconciling accounts.
  • Support accounts payable (AP) processes, including vendor communications, invoice processing, and payment scheduling.
  • Provide administrative assistance to the Service Department, including organizing paperwork, scheduling appointments, and managing customer inquiries.
  • Collaborate with dispatch to enhance productivity, professionalism, and teamwork within the department.
  • Foster a positive company culture by promoting growth and teamwork among team members.
  • Assist management with various administrative tasks, adapting to additional responsibilities as the company expands.

Job requirements

  • Reside within a 25-mile radius of our location
  • Proficient in typing with accuracy and efficiency
  • Ideally possess experience with Deltek or Computer Ease software
  • Alternatively, experience in the HVAC industry is a plus
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize tasks effectively
  • Excellent communication skills, both written and verbal
  • Adaptability and willingness to learn new software or industry-specific knowledge as required
  • Must be authorized to work in the U.S.
